Terms of Service

Thanks for choosing Best Kept Bookkeeping. These terms are here to make sure we’re both clear on how we’ll work together - no surprises, no fine print.

 

1. What We Do
We provide professional bookkeeping services in accordance with Canadian Generally Accepted Accounting Principles (GAAP). The specific scope of work will be outlined in your engagement letter and may include regular bookkeeping tasks as well as any additional services we agree upon in writing.

2. How We Work Together
We’ll agree on what services you need and when you’ll get them. You’ll need to give us access to the necessary documents and tools - things like banking info, accounting software, and receipts - so we can do the job properly.
 

3. Payment Terms
All invoices are due upon receipt. A retainer is required for all new files before any work begins. Ongoing services are invoiced monthly, and interest may be charged on any overdue balances. If an account becomes past due, services may be paused until payment is received in full.
 

4. Privacy & Confidentiality
We take your privacy seriously. All financial and personal information you share with us is kept strictly confidential and stored securely. We follow Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA), and never share your data with third parties without your consent.
 

5. Meetings & Cancellations
If you’ve booked a meeting and need to cancel or reschedule, please provide at least 24 hours’ notice. Meetings canceled with less than 24 hours’ notice - or missed without notice - will still be billed for the scheduled time. For clients on a monthly plan, we require 14 days’ notice to cancel services so we can wrap up your file and ensure a smooth transition.

6. Ending Our Work Together
Either party may terminate ongoing services with 30 days’ written notice. This allows time to finalize your file and ensure a smooth transition. At the time of termination, any unused retainer will be applied to your final invoice. Please note that while we will ensure your records are up to date and accessible, we do not provide training or onboarding for a new bookkeeper.

7. Responsibility & Liability
We strive to keep your books accurate, organized, and in compliance with CRA guidelines based on the information you provide. However, you remain responsible for your business decisions, as well as the proper storage and retention of all business-related documents in accordance with CRA requirements. We do not file year-end corporate taxes and do not provide legal advice.

8. Updates to These Terms
These terms may change occasionally to reflect how we operate. The most current version will always be available on our website or by request.
